AI workflows · Microsoft 365 & business systems

Put AI to work.
Keep control.

Turn incoming requests, documents, and follow-up into work your team can review and act on. We build AI workflows in Microsoft 365 and the other business systems you already use.

How we build it

01 / How we help

Start with the work
you need to get done.

Use the tools you have where they fit. We can help you choose the approach or implement a plan you already have. Start with one workflow and a clear picture of what needs to improve.

01

A workflow to implement

Build the workflow you need.

Connect Microsoft 365 and your other business applications so requests and documents become quotes, records, reports, or follow-up. Use AI to interpret varied inputs and prepare drafts, with software handling calculations and business rules.

What you getA working integration, tested on examples from your business.

02

A decision to make

Choose the simplest way forward.

Compare available products, configuration, automation, and custom integration around one workflow. Establish what needs to connect, what it will cost to build and run, and who will look after it.

What you getA recommendation covering tool choice, costs, implementation, and support.

02 / Illustrative applications

Less copying between tools.
More work moving forward.

Illustrative workflows across finance, operations, and customer service. Each produces something your team can review and act on. The right scope depends on your systems, information, and approvals.

Finance & purchasing

Prepare a supplier invoice for approval.

A supplier invoice arrives with a missing purchase-order reference or a mismatch in the receipt records. The workflow gathers the supporting information and prepares the exception for review.

AI prepares

Extract supplier and invoice details, and flag unclear or missing information.

Systems check

Check duplicates, totals, purchase orders, and receipt records using business rules.

People decide

Resolve discrepancies and approve the invoice before payment.

Service & operations

Prepare service reports and follow-up tasks.

A technician submits notes and photos after a job. The workflow prepares a customer report, highlights outstanding work, and drafts the follow-up for review.

AI prepares

Organize the observations and draft the report and customer message, flagging unclear findings.

Systems check

Match the customer and job records, and create follow-up tasks once approved.

People decide

Confirm the findings, assign further work, and approve the customer communication.

Customer onboarding

Assemble a customer onboarding pack.

A new customer’s details arrive across emails and forms. The workflow gathers the information, identifies missing documents, and prepares the account checklist and welcome communications.

AI prepares

Extract customer details, identify missing information, and draft the welcome message.

Systems check

Validate required fields, check for an existing account, and prepare the agreed checklist.

People decide

Confirm the account details, resolve exceptions, and approve setup and communications.

03 / How we work

A useful outcome.
A workflow your team can use.

Choose tools that fit the work, connect what needs to happen, and agree who will look after the result.

01 /

Start with a real example.

Walk through the work from the incoming information to the finished result. Compare the available tools and agree what needs to change.

02 /

Build and check.

Connect the systems and test the workflow on examples from your business. Check how it handles missing information, exceptions, and decisions that need a person’s approval.

03 /

Put it into everyday use.

Work with the people who will use it. Agree who looks after it, what it costs to run, and how problems are handled. Keep the code, accounts, and operating guidance accessible.

Already working in Microsoft 365?

Make more of the tools
your team already uses.

Start with Outlook, Teams, SharePoint, and the business applications around them. We compare existing Microsoft 365 capabilities, including Copilot, with automation and custom integration. Permissions, licensing, and running costs are part of that choice. Other business systems and Azure remain in scope.

Before we talk

A few practical
questions.

Do we need to choose an AI product first?

No. Bring a workflow and an example of how it works today. We compare existing products, configuration, automation, and custom integration. We use AI where interpreting information or preparing drafts helps, and ordinary software for calculations and business rules.

Do we need an internal engineering team?

No. A business owner, operations leader, or technical sponsor can commission the work. We involve the people who use the workflow and your existing providers where available, and agree who can approve changes and who will maintain the result.

Can you work with other business systems?

Yes. Microsoft 365 is a common starting point, and other business applications and Azure can be part of the workflow. We check the available integration routes, permissions, and licensing before proposing the work.

Can we start with one workflow?

Yes. We can scope around one process or one handoff between systems. If you already have a plan, we can review it and move into implementation. An assessment can also be commissioned separately when you need help choosing the approach.

What will it cost to build and run?

We agree the scope, what needs to work, and our fee before work begins. We also explain the relevant licensing, hosting, and usage costs so you can assess the ongoing expense.

Who owns and looks after the workflow?

You control your accounts and retain access to source, configuration, and operating knowledge, respecting third-party licenses. Before the workflow goes into use, we agree who will maintain it: your team, an existing provider, or Aligned under a separate maintenance agreement.

Bring something worth making work

What would you
like to stop doing
by hand?

Tell us what comes in, what your team does with it, and where the work slows down. We’ll discuss whether existing tools, automation, or AI can help.
